Business Beyond Borders Development Consultants is a leading facilitator of global trade connections, dedicated to matching exporters with quality importers across various industries. We are seeking an organized and detail-oriented Office Coordinator to manage the day-to-day administrative operations of our office. The ideal candidate will be a proactive problem solver with strong communication skills and the ability to multitask effectively.

Key Responsibilities:

  1. Serve as a point of contact between executives and internal/external stakeholders.
  2. Handle incoming and outgoing communications, including phone calls, emails, and mail, ensuring timely responses.
  3. Organize and coordinate meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.
  4. Assist in the preparation of reports and presentations for meetings.
  5. Maintain filing systems, both electronic and physical, ensuring the secure storage of sensitive information.
  6. Process invoices, expense reports, and maintain financial records.
  7. Handle confidential information with discretion and ensure compliance with privacy regulations.

Qualifications (Must have):

  1. Proven experience for a minimum of 1 year in a similar administrative role.
  2. Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  3. Proficiency in verbal and written communication in Arabic & English, including the capability to draft and send business correspondence via email.
  4. Proven ability to handle cold outgoing calls and initiate business conversations effectively.
  5. Possesses a positive attitude and a proactive, can-do approach to challenges.
